Purpose:
PLEASE NOTE: THIS IS A LIMITED TERM CONTRACT. The Communications & Public Affairs Division (C&PA) is responsible for advancing York University's brand and reputation by providing strategic advice and counsel to York senior management; disseminating news; developing and implementing internal and external communications, strategic marketing, special events; and developing strong relationships with key constituency groups, including alumni, donors, community groups and all levels of government. C&PA includes the following units: Media Relations, Marketing & Creative Services, Strategic Communications and Strategic Initiatives & Administration.

Social media is an essential element of the university’s communications and marketing plan. It helps York grow and engage with its audiences, and increasingly represents the first choice of channels our primary audiences expect to interact with us on.

The Digital Analyst assists the supervisor in the day-to-day operations of York’s institutional digital (social media channels and web). This includes (but is not limited to) social media monitoring, measurement and reporting, social media planning & implementation, community engagement, content research & development, writing for social media and web and other administrative duties as required.
 
Responsibilities:
SOCIAL MEDIA MONITORING, MEASUREMENT AND RESEARCH: MONITORS AND MEASURES ONLINE CONVERSATIONS, PRINCIPALLY ON SOCIAL MEDIA, AND PRODUCES DAILY MONITORING REPORTS:
Monitors social media channels (e.g. Facebook, LinkedIn, Twitter) in order to be aware of online conversations happening around the York brand. Informs the Digital Strategist of any critical mentions or developing controversial and/or sensitive conversation(s) requiring attention. Measures the performance of institutional messaging on social media channels, using tools such as SproutSocial, incorporating information into C&PA reports. Prepares daily monitoring reports for distribution to C&PA staff, using lists and social media monitoring dashboards such as Radian6. Conducts research on best practices, new channels, platforms and tools, and other related information regarding social media and online communication vehicles. Reviews and analyzes competitor performance. Percentage of time: 40%

CONTENT CREATION AND COMMUNITY ENGAGEMENT:
Assists in sourcing, formatting, scheduling and implementing approved social media plans and content on C&PA social media channels including Facebook (facebook.com/yorkuniversityhome), Twitter (twitter.com/YorkUNews), LinkedIn Universities (linkedin.com/edu/school?id=10884), LinkedIn Corporate (linkedin.com/company/167012), YouTube (youtube.com/user/YorkUniversity), Instagram (instagram.com/yorkuofficial), Pinterest (pinterest.com/yorku/) and Vine (vine.co/yorku), and other such social media channels as C&PA may initiate in future. Assists in the implementation of approved social media plans including but not limited to: sourcing content from departments & faculties, and scheduling content. Sources and formats content for C&PA social media channels, using sources such as YFile, other institutional social media channels, and daily media press coverage reports. Posts approved proactive content according to recommended frequency and times to optimize impact. Engages in online conversation on social media channels to positively leverage York’s brand and build online engagement, and coordinates online promotions and other community engagement mechanisms. Uses pre-approved messaging, to correct misinformation and to protect York’s brand and reputation. Replies to questions and comments with approved messaging on social media channels. Coordinates social media content (messaging, and other information for planned and approved promotions, and special events) from pan-university contacts; distributes to the digital team and posts on C&PA social media channels. Schedules and enters approved content in C&PA’s common content calendar using the application, Trello, and/or other C&PA software. Provides additional social media monitoring, measurement and reporting as required. Assists with deployment of approved issue messaging. Percentage of time: 40%

DIGITAL TEAM SUPPORT:
Posts best practices, industry news, tip sheets, tools and other useful information to the digital team’s Facebook group site and Confluence database repository. Schedules and coordinates digital team monthly meetings. Works with the Digital Strategist to source potential committee speakers, and coordinates speaker presentations for digital team meetings. Assists the Digital Strategist in supporting individual members / member units of the digital team by assisting in the development and dissemination of key messaging, collaterals, schedules and related materials. Ensures the digital team’s guidelines and other key documents are kept current, and reflect evolving industry best practices. Records minutes during digital team meetings and other meetings, as required. Provides support to the team by assisting in promotions and special events such as moving or lifting boxes, materials or any related items, as required. Percentage of time: 15%

Education:
University degree (with two years’ experience),or college diploma (with three years’ experience) in journalism, new media, English, marketing or a related field in digital communications.
 
Experience:
Minimum of 2 years’ experience in online communications, marketing, or public relations with a range of digital (social media and web) channels. Demonstrated experience with the daily posting, community management, metrics analysis and content creation (video, photography, writing) for a range of digital channels such as Websites, Facebook, Twitter, YouTube, Instagram, blogging platforms such as WordPress or Tumblr, etc., in a business context. Ability to write for web and proficiency in Search Engine Optimization (SEO) (ie. How to write for SEO optimization) Demonstrated success in optimizing content for social media channels. Demonstrated experience with social media management and monitoring software applications such as HootSuite, SproutSocial, Sysomos, Heartbeat, Radian6 or others. A passion for the online world, and social media. Experience in the non-profit or educational sectors is an asset.
 
Skills:
Demonstrated excellent written and verbal communication skills including the ability to collaborate with a range of internal stakeholders to ascertain their needs, and respond to queries for assistance. Demonstrated strong interpersonal and prioritization skills. Ability to work independently with minimal supervision, and to contribute as a member of a team. Ability to work effectively under tight deadlines, and to coordinate several assignments simultaneously. Strong technical background and advanced computer skills including experience in: MS Office Suite (WORD – advanced; PowerPoint – intermediate; Excel - intermediate), GoogleDocs (intermediate), Adobe Fireworks (basic), HTML (basic), CSS (basic), and the Windows operating system. Familiarity with Lotus Notes is an asset, Adobe Illustrator and Adobe Photoshop are assets. Demonstrated ability to write for the web (for SEO optimization) and social media channels, including short-form content for Twitter and long-form content for WordPress, Tumblr, etc. Strong numeracy: an ability to analyze and communicate data effectively to others, highlighting essential data. Strong internet search and research skills: must display persistence in finding hard-to-get-at information online. Must be able to work effectively with people of diverse backgrounds and promote a positive working environment, and a spirit of cooperation.

Job Specifications:
Overtime Availability in this Position: Occasional overtime may be required during peak periods.
Peak Period Definition: September to February.
Vacation Restriction Definition: During vacation periods of the Digital Strategist. Vacation time must be coordinated with colleagues of the unit.
