Purpose:
PLEASE NOTE: THIS IS A TEMPORARY CONTRACT. The Service
Representative, as part of the team in Admissions will be a key
member of the larger Student Services team working together to
support the new vision for student services at York – a vision that is
student focused and creates a culture of satisfaction, involvement
and pride in the students’ York experience. The Service
Representative is committed to providing potential applicants with
information regarding admissibility to York and to answer general
questions about the University. The Service Representative provides
accurate and timely services in writing, via telephone, fax, e-mail and
in person. The incumbent accurately disseminates general, detailed,
and at times, complex information regarding policies, procedures,
and rules and regulations as they relate to Admissions. The
Incumbent refers to information contained within the Undergraduate
and Graduate Calendars and Lecture Schedules, the Student
Information System (SIS), the Internet/Intranet, and other written and
electronic resources.
The Service Representative works independently to support the
client service initiative of the University, and responds professionally
and courteously to queries from, prospective students, parents,
alumni, Faculties and departments, other educational institutions,
and to the general public. The Incumbent deals politely and
expeditiously with all clients including those who are upset/angry
and refers those who require special attention to the appropriate
offices. The Incumbent books campus tours and information
sessions, determines when clients need to be referred to other
parties and, if necessary, arranges appointments with the
appropriate representatives. |

Education:
High school graduation or equivalent. |
|
Experience:
2 years' recent related experience (e.g., answering a high volume of
detailed/complex enquiries, providing regulatory & detailed/complex
information, both verbally and in writing, etc.) including dealing with the
public in a customer or student service area. |

Skills:
Demonstrated skills/abilities in the following areas: knowledge of
postsecondary educational systems; accurate on-line data entry
skills and knowledge of a large computerized record system;
general procedural advising & counselling skills so as to analyze,
synthesize, evaluate and interpret information in order to formulate
and present an appropriate response; exercising good judgement;
attending accurately to detail and working effectively under pressure
of high volume; exercising tact and diplomacy; sensitivity to race,
ethnicity, religion, culture, disability, sexual and gender diversity;
eliciting & providing accurate information; providing regulatory
information and answering detailed & complex enquiries in a quick,
efficient, clear and concise manner; dealing courteously and
effectively with customers & co-workers; flexibility and performing as
a team player; effective interpersonal and public relations skills;
good written communication skills; effective organizational skills;
maintaining confidentiality; willingness to learn new technology;
lifting and bending.
Basic knowledge of: a variety of application-software (e.g. MS Word,
MS Excel, MS Access); Web searching/navigation tools to research
information via the Internet; electronic mail. Experience working with
a line management system an asset (e.g. Qmatic). |
