Purpose:
PLEASE NOTE: THIS IS A TEMPORARY CONTRACT. Under the general direction of the Associate Director, Administration and in support of the Associate Dean’s portfolio, Faculty Affairs, the Administrative Secretary provides administrative and clerical support to the Associate Dean, Faculty Affairs. Also provides back-up support to the front reception desk in the Office of the Dean.
 
Education:
High school graduation with secretarial training or equivalent.
 
Experience:
2 years related experience (secretarial, scheduling and organizing meetings, scheduling and organizing electronic calendars, reception, etc.), preferably in an academic environment.
 
Skills:
Typing 40-45 wpm; accuracy essential; demonstrated skill/ability in the following areas: intermediate word-processing in a Windows environment; intermediate spreadsheet (e.g., MS Excel); intermediate computerized file and database management skills; knowledge of electronic mail; electronic calendar (e.g., Lotus Notes, iCal); excellent organizational skills including ability to set priorities, multi-tasking and meeting deadlines; working effectively under pressure of high volume and constant interruptions; obtaining and providing accurate information in a clear and concise manner; good written communication skills; dealing courteously and effectively with people; maintaining confidentiality; attending accurately to detail; exercising initiative; tact and diplomacy; good judgment; working effectively both independently and as a member of a team.
