Purpose:
The Administrative Assistant provides efficient, professional and confidential administrative support to the Director, Maintenance Services and acts as the backup to the Executive Assistant to the Assistant Vice-President, Campus Services & Business Operations (CSBO). Duties are broad, varied and often are of a confidential and or sensitive nature. Daily activities involve interaction with staff, external contractors and TSSA Inspectors. This position is exposed to sensitive information which requires the incumbent to use, tact, diplomacy, discretion, and excellent judgment. The incumbent is also responsible for the effective and efficient management and coordination of special projects as assigned.
 
Education:
University degree or equivalent combination of education and experience. Diploma in Administration/Business an asset.
 
Experience:
3-5 years’ related experience providing administrative/management support to a senior leader in a complex environment. Project management experience is an asset. Institutional experience preferred.
 
Skills:
Excellent communications, both oral and written. Proven research and analytical skills. Ability to produce clear and concise documentation and reports; excellent proofreading skills. Attention to detail. Discretion, good judgment, tact, diplomacy, creativity and initiative. Strong interpersonal skills. Excellent organizational and planning skills to effectively schedule training sessions and workshops and related room coordination. Ability to work independently, as well as in a team environment. Ability to effectively meet numerous competing demands in a highly complex environment and work effectively under pressure. Ability to meet short/long term deadlines. Ability to maintain confidentiality. Experience and proficient with all computer applications used (Word, Excel, Access, PowerPoint, Lotus Notes, Visio, etc.). Ability to adapt to change and learn new applications. Thorough knowledge of University policies and procedures and their application related to signing authority, procurement and EWO.
