Purpose:
Reporting directly to the Director, Student Relations, Office of Student Conflict Resolution, the Administrative Assistant will provide administrative, reception and financial support; including but not limited to the areas of computerized scheduling, answering and screening calls, assisting with correspondence, providing committee and meeting support, record keeping, assisting with financial tasks and statistical reports of the office’s activities and assisting with work-study hiring. The incumbent will be responsible for reviewing and distributing all security reports on Perspectives, Advocate and E-rez, checking and reviewing complaints received and coordinating all administrative activities related to training programs and University Tribunal (UT) hearings. In carrying out the responsibilities of this position, the incumbent will act as the initial contact point for the office.
 
Education:
Completion of high school and some courses at the College level in accounting/bookkeeping and administration is required.
 
Experience:
This position requires a minimum of 3 years’ related administrative and budgetary experience involving forecasting and computerized budget administration, program coordination, supervision of staff as well as front-line operation support including dealing with difficult, distressed and/or demanding individuals, and emergency situations, preferably in a post-secondary environment.
 
Skills:
Broad knowledge of University rules, regulations, policies and procedures; advanced MS Word, MS Excel and MS PowerPoint skills and intermediate MS Access skills; Experience in using Simplicity and eRez is required; Proficiency in using computerized scheduling software; E-mail (Lotus Notes); ability to obtain and provide accurate information in a clear and concise manner, tact and diplomacy essential; ability to deal courteously and effectively with people; strong initiative, flexibility and integrity; ability to maintain confidentiality, proven ability to work calmly and effectively under pressure of high volume of work and constantly changing priorities and potential difficult, stressful situations; ability to work effectively as a team and independently; ability to meet deadlines concurrent with paying strong attention to detail; mediation and problem solving sills, excellent organizational skills; excellent written and verbal communication skills; strong interpersonal and public relations skills; demonstrated ability in monitoring and reconciling budgetary accounts.
