Purpose:
Under the direction of the Director supports the goals and objectives of the Office of the Dean and provides advanced reception, administrative and clerical support for the general operation of the Office of the Dean. Provides back-up for the Executive Assistant during absences.
 
Education:
Post-secondary education in office administration (including post-secondary accounting/bookkeeping courses or training).
 
Experience:
Minimum of 3 years’ recent related experience in an administrative role; Experience must include, front desk reception and providing support to senior-level administrators. Experience dealing with corporate, business and government entities; coordinating multiple activities in a fast-paced environment including: program/event coordination and budget administration in an academic environment.
 
Skills:
Typing 50 wpm, accuracy essential. Intermediate to advanced knowledge of the following software packages: Windows; MS Word (advanced level); MS Excel (advanced level); MS Access (advanced level) electronic calendar/scheduling software; and e-mail software (e.g. Lotus Notes & Entourage); MS Powerpoint; SIS, ARMS, Visio, e-reports.
DEMONSTRATED SKILLS: Ability to handle a busy reception desk in a positive and professional manner. Ability to work courteously and effectively with people; obtaining and providing information in a clear and concise manner; excellent organizational skills, including ability to work effectively under pressure of high volume; ability to set priorities and meet deadlines; ability to work independently; excellent communications skills (oral and written); demonstrated good judgment and initiative; effectiveness in attending to details; tact and diplomacy essential; ability to maintain confidentiality and, ability to work as an effective member of a team. General knowledge of financial policies, processes and guidelines that align with the strategic goals of the LSE as well as general knowledge of University standards, policies and practices. Familiarity with Occupational Health and Safety regulations. Accuracy, punctuality and reliability are essential in this position.
