Acts as the primary contact and provides administrative assistance to the Executive Director, Faculty Relations and to the Associate Directors, Faculty Relations. Responsible for the day-to-day management of the office of Executive Director and Associate Directors, Faculty Relations by providing directly or indirectly, appropriate administrative support on administrative and union related matters, and ensures close liaison is maintained with the President, Vice-Presidents, Associate/Assistant Vice-Presidents, Deans, Associate Deans, Chairs and Unions. Manages and supports designated projects undertaken by the Executive Director and the management team in Faculty Relations ensuring the effective, efficient and successful implementation of the projects. This position is also responsible for administrating and monitoring of the Faculty Relations operating budget, as well as institutional cost centers associated with the academic employee groups.
High School Graduation, plus related courses. Some post-secondary courses/education preferred.
Minimum of five years secretarial/administrative experience, including experience in dealing with a wide range of contacts in a university setting and/or public sector. Union and Collective Agreement experience preferred.
Demonstrated excellent oral and written communications skills; excellent interpersonal skills; ability to work independently and to set priorities; discretion, tact and diplomacy essential. Must have eagerness and commitment in providing a consistently high level of service. Must deal courteously and effectively with members of the community and the public. Excellent organizational and analytical skills are required. Detailed oriented and have good budgetary knowledge and skills. Intermediate Microsoft Office skills required: Access, Excel, Word and PowerPoint. Experience with Dictaphone and dictation a definite asset.
